Small fleet dispatch service is a different job from dispatching one truck. These are the ten things owners of two to ten trucks want settled before they hand over the desk.

    How is fleet pricing different?

    Once your MC is 6 months old and you run two or more trucks, the fee is 4% per truck of each rate con's gross instead of 5%. It applies to every truck, not just the second one. Full math on what we charge.

    Who confirms loads, the driver or me?

    You decide, per truck. Some owners approve everything. Others let a senior driver approve their own loads inside a floor rate. We follow whatever you put in writing, and we never book on silence.

    We run more than one MC. Can you handle that?

    Yes. Each authority gets its own carrier packet, its own broker setups, its own rate cons and invoices. We never move a load from one MC to another. The fee tier follows each MC's age and truck count, and we put it in writing on the first call.

    How do you plan around drivers' home time?

    Every driver gets a home profile: home base, days off, how far out they'll go. We plan the reload chain backward from the home date, so Thursday's load already points toward the house.

    What reports do I get per truck?

    A weekly report with a section per truck: loads, miles, gross, rate per mile, fee, detention and open invoices. One glance shows which truck carried the week and which one sat.

    What is the broker book?

    Our running record of every broker your fleet works with: setup status, payment terms, open invoices by truck and our notes. It's yours, and it goes with you if you leave.

    How fast can a new truck start?

    Add the unit to your insurance and send us the truck, trailer and driver details. We update the packet with every broker already set up, so the new truck usually books with familiar names first.

    We have an in-house dispatcher. Can we switch gradually?

    Yes. Many fleets start by giving us one or two trucks while their dispatcher keeps the rest. Compare the weeks side by side, then decide. Our fee only applies to loads we dispatch.

    Does factoring work per truck or per fleet?

    Factoring runs per authority, not per truck: one factor buys the invoices for the MC. We send PODs and rate cons to your factor the same day, tagged by truck, so nothing gets mixed up.

    What happens if we leave?

    Give us 30 days notice. Booked loads finish, open follow-ups come back to you with notes, and you keep the broker book and every packet. No fee to leave.

You're booking tomorrow's loads from a truck stop at 10 p.m. A truck sat empty for a day because nobody planned its reload. A driver took a load you would have refused, because you were driving and couldn't answer. An invoice hit 50 days before anyone noticed. With three trucks, you might work with twenty brokers in a quarter. Each one has its own setup, its own payment terms and its own habits. Some pay on day 24 every time. Some need a reminder. A few won't set up a young authority at all. Keeping that straight in your head is how invoices slip past 45 days without anyone noticing.

The broker book is how our desk keeps it straight. Every setup, every term, every open invoice, tagged by truck. Tap a truck to see only its invoices. When an invoice passes its terms, we send a written reminder with the POD and rate con attached, and the note goes in the book. Before any new broker enters the book, we check its public authority record, its bond, and whether the phone number and email domain match the record. A broker that fails the check is marked “do not use” for every truck, so a driver can't get talked into it on a Friday afternoon.

Owner approves all

Every offer for every truck comes to you. Best for fleets of two or three, or new drivers you're still getting to know.

Driver approves own truck

Offers go to the driver of that truck. You get a copy of every confirmation and the weekly report.

Driver within limits

The driver confirms anything above your floor rate and inside the home-time window. Anything outside comes to you.

Whatever you choose, the booking flow doesn't change. We find and negotiate the load, check the broker's public records, and send the details to whoever confirms for that truck. They say yes or no, with no penalty for a no. Then the broker sends the rate confirmation directly to your company email, made out to your carrier, and you or someone you authorize signs it.

We never sign rate cons for any truck, and freight money never passes through us. The broker pays your company or your factor directly, and our percentage is billed to you once a week on delivered loads. The full step by step is on how we work. What we need from each driver

Not much, but it has to be fast. A reply to each offer they're approving, ideally within fifteen minutes. A text at pickup and delivery with the time, so detention clocks start on record. Clear photos of the signed bill of lading and POD the same day. A heads-up the moment anything goes wrong: a breakdown, a late appointment, a shipper who loads short. Drivers who do those four things make the whole fleet easier to dispatch, because brokers remember carriers whose trucks are easy to track and whose paperwork shows up on time. If a driver struggles with it, we tell you in the weekly report instead of letting it quietly cost you setups.

Questions carriers ask

What is a fleet dispatcher?
A fleet dispatcher plans loads for several trucks at once under one carrier's authority. That means searching and negotiating loads for each truck, keeping every broker setup current, coordinating drivers' pickup and delivery times, handling check calls and detention, and tracking which invoices are open for which truck. An outsourced fleet dispatcher does the same job from outside your office, for a percentage instead of a salary.
How much does small fleet dispatch cost?
With us, 4% per truck of the gross rate on each rate confirmation when your MC is 6 months or older and you run two or more trucks. Under 6 months it's 7%, stepping down automatically. Lumper reimbursements are excluded. No setup fee, no per-truck minimum, and a truck that sits for a week costs nothing that week.
Is outsourced truck dispatch cheaper than hiring a dispatcher?
It depends on your gross and how many trucks you run. An in-house dispatcher costs a salary, payroll taxes, load board subscriptions, a phone and cover for days off, whether trucks move or not. Can drivers approve loads themselves?
Yes, if you want them to. On setup the owner picks who confirms: the owner for every truck, each driver for their own truck, or the driver within limits you set, such as a minimum rate per mile or a home-by date. Whoever confirms, the broker sends the rate confirmation to the company email in your carrier's name, and the owner or an authorized person signs it.
Do you dispatch mixed equipment fleets?
Yes. Plenty of small fleets run a reefer next to two dry vans, or a hotshot beside a flatbed. Each truck gets its own search rules, broker list and lanes, and the fee is the same percentage on every truck regardless of trailer type. Box trucks must be 26 feet or longer; we don't dispatch anything shorter, cargo vans or sprinters.
Do you give reports per truck?
Yes. Every week you get one report with a section per truck: loads hauled, loaded and empty miles, gross, rate per mile, our fee, detention requested and paid, and open invoices with their age. You also get the full broker book, so you can see setups, terms and who is past due across the whole fleet in one place.
